Privacy Policy

The privacy and security of your personal information is very important to KOST.  This privacy policy explains how and why we use your personal data, to make sure you stay informed and can be confident about giving us your information.

This policy applies if you are a KOST supporter, member, donor, volunteer, enquirer about KOST’s work and you visit our website, email, call or write to us.

KOST is committed to ensuring that your privacy is protected.  We will never sell or share personal information for any other organisation to use.  (If asked by the police, or any other regulatory or government authority investigating suspected illegal activities, we may need to provide your personal data.)  You can be assured that, should we ask you to provide certain information when using our website, that information will only be used in accordance with this privacy policy.

This privacy policy is in line with the requirements set out in the General Data Protection Regulations (2018).  KOST may change this policy from time to time, in line with legal requirements in future.

How do we collect personal information?

Your activities and involvement with us will result in personal data being created.  You give us your personal data in writing, by phone or email, or by filling in forms on our website.  KOST collects information lawfully and in a fair and transparent way.


What personal data do we collect?

Your personal data is any information which identifies you and which is used and stored by KOST.  We will only collect personal data needed to fulfil the charity’s objectives.

We may collect the following information:

– Name and title;
– Address;
– Email address;
– Telephone/mobile number;
– Financial information to establish standing order payments (and whether these are gift-aided). It is destroyed as soon as standing orders become operational.

KOST uses personal data fairly and legally and in a way that is adequate, relevant and not excessive.  No sensitive personal data is gathered, used or stored by KOST.


How we use your personal data

We will only use your personal data on relevant lawful grounds as permitted by the EU General Data Protection Regulation (2018), UK Data Protection Act and Privacy of Electronic Communication Regulation.

We like to keep in touch about things that may matter to you. Your personal data helps us deliver our charitable objectives, respond to enquiries, supply newsletters and updates about KOST’s work, helps us to raise funds and communicate notices and donation acknowledgements.  It also helps us maintain our own records and accounts, including gift aid applications.  We will only use your personal data if you give consent for KOST to do so. Please see the ‘Consent’ section below, which describes how we may obtain your consent and the conditions we adhere to for using it.

If you make a donation, we will use any personal information you give us to record the nature and amount of your gift, claim gift aid where you’ve told us you are eligible, and thank you for your gift.  If you interact or have a conversation with us, we will note anything relevant and store this securely on our systems, but we will not keep any information longer than is necessary.

Charity Commission rules require us to be assured of the provenance of funds and any conditions attached to them.  We follow a due diligence process which involves researching the financial soundness, credibility, reputation and ethical principles of donors who have made or are likely to make a significant donation to KOST.

Our website uses cookies.  A cookie is a small file which asks permission to be placed on your computer’s hard drive.  Once you agree, the file is added to your hard drive and the cookie helps KOST to analyse web traffic, identify which pages are being used and helps to improve website use.  We only use this information for statistical purposes and then the data is removed from the system.  Cookies do not give KOST access to your computer or any information about you, other than the data you choose to share with us.

You can choose to accept or decline cookies when viewing our website.  Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer.  This may prevent you from taking full advantage of the website.


Marketing Communications

If you consent to hear from us, we may send information based on what is most relevant to you in your support of KOST.  We will act upon your choice of how you want to receive communications (for example, email, post or phone) if you tell us this.  However, there are some communications that we may need to send by post.



If you tell us you want to fundraise in support of KOST, we will use the personal information you give us to record your plans and contact you to support your fundraising efforts.



We need to use your personal data to manage your volunteering, from the moment you enquire to the time you stop volunteering with us. This may include contacting you about a role you may be interested in and to recognise your contribution.


How long do we keep your information?

We will only use and store your information for as long as is needed and for the purposes it was collected for.  Legal statutory requirements require a longer storage period for some information.


How we secure your data

We are committed to ensuring that your information is kept safe and secure.  In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure information we collect online and by other means, in order to prevent unauthorised access or disclosure.


Consent, and right to withdraw

KOST uses your personal data on the basis of consent.  We will provide the means for you to give consent at our first point of contact with you when you email or write to us.  If you contact us through the website, you can give consent for KOST to use your personal data by following the instructions on relevant pages where consent is needed and reading the terms of this privacy policy. We ask consent to use personal data for specific purposes and these are clearly stated at the time we ask for consent. If we need consent later for a different purpose, we will ask again for that specific purpose. It is your right under General Data Protection Regulation to withdraw your consent at any time.  How you may do that is explained directly below.
